Our Commitment
Brazil Forum UK is an annual conference organized by Brazilian students in the United Kingdom with the purpose of bringing together experts, politicians, opinion leaders, and renowned academics to promote diverse and democratic debates on key issues affecting Brazil’s future. Hosting our annual conference (the “Event”) involves the collection and processing of personal data, a responsibility we take very seriously.

This Privacy Policy aims to describe how we collect, use, share, and protect the personal information obtained in the context of organizing, managing, and following up each edition of Brazil Forum UK, based on the European General Data Protection Regulation (GDPR) and the Brazilian General Data Protection Law (LGPD), as applicable.

What personal data is processed?
When you interact with us to participate in the Event, we need to collect registration information required to complete the sign-up form, such as full name, email address, and organizational affiliation (optional).
Additionally, when you browse our website, we may collect electronic records from devices and data related to your interaction with our platform, such as IP address, geolocation, access date and time, and time spent on our pages. In general, this consists of aggregated information that does not allow us to identify you individually.
Moreover, our website uses cookies to enhance user experience and improve navigation metrics on our platform. Cookies are small text files stored on your computer or mobile device. You can adjust your browser settings to refuse cookies or to be notified when a cookie is being sent.
As a rule, we do not collect sensitive data or information that reveals health status, sexual life, racial or ethnic origin, religious beliefs, political opinions, union membership, or affiliation to religious, philosophical, or political organizations, genetic or biometric data — unless you explicitly and clearly consent to this. We recommend that you do not voluntarily provide such information (e.g., through open text boxes, emails, or comments on our social media platforms).

How do we collect your personal data?
We collect your personal data directly from you, through visits to the Event website and, if applicable, when you submit a registration form, interact with us, or attend the Event in person. Additionally, our platform automatically collects some information, such as IP address, browser type, and the date and time of your visit.

For what purposes is personal data used?
We process personal data for the following purposes:

  • To allow you to register for the Event.

  • To inform you about important issues and send alerts related to Event registration.

  • To enable your access to our website.

  • To conduct satisfaction surveys and reach out regarding future events and projects.

  • To generate aggregated statistical reports on site visitor activity.

  • To respond to inquiries and interact with you.

  • To broadcast and record the Event and keep a record of online interactions.

If necessary, data may be used to comply with requests, decisions, and/or orders from government, judicial, or administrative authorities, to exercise legal rights in proceedings, or, when appropriate, in accordance with a legitimate interest pursued by Brazil Forum UK — in which case you will be informed and may object to the processing.

Who has access to personal data?
The Event’s organizing team will have access to the personal data submitted via the registration form to manage the programming and schedule of each edition of the Forum. Additionally, we may share your personal information with third-party service providers who help us organize the Event. In these cases, we require such providers to follow appropriate information security standards and not to use the data for any other purpose.
If you choose to attend the Event in person and opt to share your professional information for networking purposes, specific suppliers and sponsors may also have access to your data.
As the Event strengthens ties between the UK and Brazil, personal data may be transferred between individuals and companies located in these countries. In such cases, we will take measures to ensure that the data transfer is conducted securely and lawfully.

How long is personal data retained?
As a rule, we only retain personal data for as long as necessary to fulfill the purposes for which it was collected, including to meet any legal, accounting, or reporting obligations. We may also retain information for a longer period for statistical purposes and to measure the reach of the Event.

How do we protect personal data?
We strive to ensure an adequate level of security to maintain the integrity and confidentiality of the information you may share with us, through the use of Hypertext Transfer Protocol Secure (HTTPS) and access control via credentials. In addition, we protect data in transit from our website using the SSL secure protocol, aiming to safeguard your personal data from unauthorized access and from accidental or unlawful destruction, loss, alteration, disclosure, or dissemination.
Despite our efforts to prevent data security incidents, situations may arise due to the sole fault of third parties, such as hacker or cracker attacks, or the fault of the data subject. Therefore, we recommend exercising caution when interacting with us on our platforms and remaining vigilant to the inherent risks of the internet’s architecture.

Your rights regarding processed personal data
We respect and honor your rights regarding your personal data. This includes the right to access and obtain a copy of your personal information held by us, and to request corrections if any of the data is incorrect or incomplete. You may also request deletion of your personal data or restrict its use under certain circumstances. Furthermore, you have the right to object to the processing of your personal data in some situations and, where applicable, you may exercise your right to data portability.
If we receive a request regarding the personal data we process, we will consider applicable laws and respond as quickly as possible.

Policy Updates
We may update, enhance, and revise this Privacy Policy from time to time whenever we deem necessary to make it clearer, more up-to-date, and compliant with applicable legislation. The date of the last update is provided at the beginning of this document for your reference.
